This policy explains how we handle your personal information across our website at geekly.com.au and our repair services at 37 Williamson Street, Bendigo. We are a small business and we are committed to handling your information in line with the Australian Privacy Principles.

What personal information we collect

We collect only the information we need to quote, carry out and warrant your repair, and to run our business. This may include:

  • Contact details: your first and last name, business name (if any), phone number and email address.
  • Device and repair details: device type and model, whether your device is in warranty, a description of the fault, repair history, and, where you choose to give it to us, your device passcode or PIN so we can test the repair.
  • Enquiry content: the enquiry topic, how you were referred to us, and anything you write in a message or tell us by phone, email or in person.
  • Transaction information: records of the services we have provided to you and your payment status. Card payments are processed in store through our payment terminal, and we do not collect or store your full card details on our website.
  • Limited technical information: when you visit our website, our hosting provider may record standard server log data such as your IP address, browser type and the pages you view, to keep the site secure and running.

How we collect it

We collect personal information directly from you when you complete a booking or enquiry form on our website, call us, email us, message us on social media, or visit our store. In some cases we may collect information from a person acting on your behalf, for example a family member booking a repair for you. Our website forms use an anti-spam measure that does not collect any additional personal information about you.

Why we collect and use it

We use your personal information to:

  • respond to your enquiry and provide a quote;
  • book in, carry out, test and warrant your repair;
  • contact you about your repair, including SMS, phone or email updates at each stage of the job;
  • take payment and keep accurate records of the work performed;
  • meet our warranty, record-keeping, tax and other legal obligations; and
  • keep our website and systems secure.

We send service messages only. We do not send marketing or promotional messages, and we do not sell your personal information.

Cookies, analytics and tracking

Our website uses Google Analytics 4, a web analytics service provided by Google, to understand how visitors find and use the site so we can keep improving it. It sets cookies and collects information such as the pages you view, your approximate location (from a truncated IP address), and your device and browser type. We use this only in aggregate to improve the site, we do not use it to identify you personally, and we do not run advertising or remarketing pixels. Google processes this data on our behalf as described in Google's Privacy Policy.

We also use cookie-less, privacy-friendly performance and traffic analytics provided by our hosting platform to measure page speed and overall visits. You can opt out of Google Analytics on every website you visit with Google's opt-out browser add-on, or by blocking analytics cookies in your browser settings. Our website and hosting providers may also use strictly necessary cookies or logs to deliver and secure the site.

Who we share it with

We do not sell your personal information. We share it only as needed to run our business, including with:

  • our customer and job management system (our CRM), which records your enquiry and repair;
  • trusted cloud providers who host our website, database and related systems;
  • our email provider, where we contact you by email about your repair;
  • professional advisers, or government and law-enforcement bodies, where we are required or authorised by law to do so.

We require our service providers to protect your information and to use it only for the purposes we engage them for.

Where your information is stored

Your enquiry and repair records are stored in Australia, on databases hosted in Sydney. Our website is delivered through Vercel, a hosting provider based in the United States, so website requests may be processed on its infrastructure outside Australia. Some other service providers we use, such as our email service, may also store or process limited data outside Australia. Where this happens, we take reasonable steps to ensure your information is handled consistently with the Australian Privacy Principles. We send repair updates by SMS manually from our own work phone, not through a bulk-messaging platform.

How we keep it secure

We take reasonable steps to protect your personal information from misuse, loss and unauthorised access, including access controls and secured connections to our systems. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

How long we keep it

We keep your personal information for as long as we need it to provide and warrant your repair and to meet our legal, tax and record-keeping obligations. We may keep repair records for the length of the warranty period and for a reasonable period afterwards. We securely delete or de-identify information when we no longer need it.

Accessing and correcting your information

You can ask us for a copy of the personal information we hold about you, and ask us to correct it if it is wrong or out of date. Contact us using the details below. We may need to verify your identity first. There is normally no charge to make a request.

Complaints

If you have a concern about how we have handled your personal information, please contact us first using the details below and we will work to resolve it. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
